THIS OPEN POSITION IS LOCATED AT OUR SATELITTE OFFICE IN CHARLOTTE, NC

Michelin has an immediate opening for an Administrative Assistant to oversee reporting, documentation, coordination, and communication essential to our team’s success. Our purpose at Michelin is to support everyone’s right to move freely and find their better way forward. In this role, you will provide accurate information that empowers our team to engage in meaningful and purposeful work.

What You Will Do:

  • Personnel Administration: Manage personnel processes including mandatory training, assist with onboarding of new employees, and offboarding departing team members.
  • Access Management: Oversee computer and network access for team members during their onboarding and offboarding.
  • Meeting Coordination: Organize and schedule recurring meetings and special requests, ensuring timely logistics and bookings of meeting rooms. Send invitations and distribute agendas.
  • Document Management: Handle document retention, ensuring compliance with archiving and classification rules, including training the team on document retention practices.
  • Legal Collaboration: Lead the archiving of legal documents in partnership with the Legal team.
  • Procurement Management: Process orders and purchase requests, manage purchase orders, and handle invoices without orders for external services. Educate the team on purchasing rules and validate invoices.
  • Budget Oversight: Supervise the budget for external purchases, including supplies and services.
  • Information Distribution: Act as a communication relay within the entity, distributing timely information via email and maintaining updates on bulletin boards.
  • Mail Management: Open and sort company mail, directing it to the appropriate departments.
  • Invoice Preparation: Prepare daily and monthly invoices for customers.

What You Will Bring:

  • Experience: Minimum of 3 years of proven experience as an administrative assistant or in a support role. An undergraduate or associate degree in a related field is a plus.
  • Interpersonal Skills: Proven ability to communicate with empathy, professionally resolve disputes, and actively listen.
  • Professional Communication: Ability to interact effectively with external partners, suppliers, executives, and colleagues.
  • Attention to Detail: Consistent track record of maintaining data accuracy and attention to detail.
  • Self-Motivation: Capability to set and achieve goals with minimal direction.
  • Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and able to learn new software systems. Experience with PowerBI or SharePoint is a plus.
